User logins and Access levels

A Buzzshot account can have multiple User logins. This means that if you wish, you can create seperate User logins with unique passwords for each member of your staff and also assign different levels of access privileges to each as explained below:

Game Master (App only access):

  • Limited access for Game Masters on Android and iOS devices.
  • Capabilities include player check-ins, team photos, and game data collection.
  • No access to the Admin / Business Dashboard.

Admin User: (App access, plus Buzzshot Admin / Business Dashboard)

Designed for business owners, managers, and account-level Admin staff. Default full access to the App and Business Admin Dashboard. Customizable permissions:

  • Edit the settings page: Configure account settings, waivers, rooms, templates, and integrations.
  • User Management: Create, reset, or delete user logins and passwords (sits under the settings permission).
  • View stats page: Access to all stats, including Game Master-specific stats.
  • Read player reviews: Full access to the Review Monitor, including staff-related reviews.
  • Export/download data: Permission to export all account data.
  • View survey results: Access to Customer Survey Results.
  • Create and send broadcast messages: Send Broadcast Emails and configure mailing lists.
  • Access messages: View and reply to player messages (if your account has the Messages feature).
  • Complete groups or events: Mark groups or events as completed (if enabled on your account).

If your account has the Bookings feature enabled, you also get a set of nested permissions that let you give staff read-only or full access to different parts of the booking area:

  • View bookings & orders: See the calendar, bookings, and orders. This unlocks the entire bookings section — turning it off hides all booking permissions for that user.
    • Edit bookings & orders: Create, modify and cancel orders and bookings, and add or move bookings on the calendar. Without this, the staff member can see bookings (including customer names and contact details) but can't make any changes.
    • View gift cards: See gift cards on orders and in the gift cards list.
      • Issue & edit gift cards: Create new gift cards and edit existing ones.
    • View coupons: See coupons on orders and in the coupons list.
      • Create & edit coupons: Create new coupon codes and edit existing ones.

Each nested permission requires the one above it. For example, "Issue & edit gift cards" only takes effect if "View gift cards" is also on, and gift card permissions only apply when "View bookings & orders" is on.

Booking settings (schedules, ticket types, pricing, products etc.) are controlled by the "Edit the settings page" permission above — they're not a separate booking permission.

Can I give a front-desk user access to bookings but not gift cards or coupons?

Yes. Enable "View bookings & orders" and "Edit bookings & orders" and leave the gift card and coupon permissions off. The staff member will be able to take and manage bookings without seeing your gift card or coupon lists.

Can I give someone view-only access to the booking calendar?

Yes. Enable "View bookings & orders" but leave "Edit bookings & orders" off. They'll see the calendar and order details (including customer names and contact info) but won't be able to create, change or cancel anything.

Can my staff all share/use the same User login or should I create one for each staff member?

We strongly recommend creating a separate login for each staff member. It's free, takes only a moment to set up, and gives you a few important benefits:

  • Clean offboarding: when someone leaves, you can revoke their access by deleting (or deactivating) just their login — no need to change a shared password and re-distribute it to everyone else.
  • Accountability: activity in Buzzshot is tied to the user who did it, so you can see who checked a team in, edited a booking, or issued a gift card.
  • Right-sized access: each staff member only gets the permissions they actually need — front-desk staff don't need access to stats, broadcasts or financial data, for example.
  • Easier troubleshooting: if a specific staff member or device (smartphone/tablet) runs into an issue, you can identify it by login name in the Device Connections List.

Buzzshot does technically allow multiple people to share a single Username and Password if you'd prefer — but you'll lose the benefits above, so we don't recommend it.

Organisation logins and Chain accounts:

If your Organisation owns or operates a chain or franchise with multiple locations and separate Buzzshot accounts and requires specific Master/Organisation level User(s) that can quickly access and switch between multiple Buzzshot accounts we can certainly provide this for you. The quickest and best way for you to set up a new Master/Organisation user login is for you to create a new Admin User (see instructions above) and then just email support@buzzshot.com to tell us the Username you've created, the associated email address, and exactly what Master/Organisation/Location access permissions you would like assigned to it.
